How to Get Paid for Gigs: Deposits, Payment Plans and Reminders

Stop chasing clients for money before the gig.

The short answer

To get paid on time, collect a deposit when the contract is signed, put the rest on a payment schedule with clear due dates, send automatic reminders before each payment is due, and make paying easy with card and bank transfer. Record checks, cash and other payments in the same place, so you always know what each client still owes.

Start with a clear performance contract that spells out the schedule.

Set up a payment schedule

  • Deposit: due at signing, to hold the date.
  • Installments (optional): for big weddings booked a year out, a payment plan makes the total easier.
  • Final balance: due before the event, so you never have to ask for money on the day.

Let reminders do the chasing

Most late payments aren't refusals. The client simply forgot. A friendly automatic reminder a few days before each due date gets most payments in without you sending a single awkward message.

Make paying easy

Offer card payments for convenience and bank transfer for large balances, so clients can choose. Some clients will still pay by check, cash or another app. Record those payments too, so your numbers stay right.

Don't forget tips

Many clients want to tip but don't know how. Offering a simple way to tip after the event, and splitting it fairly with your players, adds up over a season.

How BookLive helps

  • Payment schedules. Set the deposit and when the rest is due for each gig.
  • Automatic payment reminders. Turn them on per gig and choose when they go out.
  • Card and bank transfer. Clients pay online, and you choose which methods to offer.
  • Off-platform payments. Record checks, cash and other payments so balances stay accurate.
  • Refunds and discounts. Refund a card payment in full or part, and apply discounts to a gig.
  • Tips. Clients can tip in their portal, and you can split tips across your players. See how to pay your band.
