The short answer
To confirm musicians' availability, have your players block out the dates they can't do ahead of time, then send each player one request with the full gig details and a reply deadline. Treat no answer by the deadline as a no and move on. Once someone says yes, confirm it in writing.
That turns "let me check" into a real answer, every time. It's step one of a reliable system for scheduling band members.
Before you ask: collect blackout dates
The fastest availability check is the one you never have to send. Ask your regular players to mark their vacations, other gigs and family dates ahead of time. Then you only ask people who are actually free, and nobody has to say no to you.
What a good availability request includes
- Date and times: call time, start and end.
- Where: the venue and city, so travel is clear.
- What: the type of event and the music.
- Pay: the exact amount.
- Deadline: "Please reply within 48 hours."
Example: "Can you play a wedding Saturday, June 14, 4–10pm at the Grand Hotel downtown? $300. Please reply by Thursday at noon."
How long to give players to reply
24 to 48 hours works for most gigs. For a gig this week, a few hours is fair, as long as you say so in the request. A deadline isn't rude. It's respectful of everyone's time, including the next player on your list.
Holds vs. confirmations
A hold means "please keep this date open while the client decides." A confirmation means "you're booked." Keep them separate and say which one you're asking for. When the client signs, turn the hold into a confirmation right away, and release the date if the gig falls through.
How BookLive helps
- Blackout dates. Players mark the dates they're busy, so you only ask people who are free.
- Requests with deadlines. Ask one player or the whole lineup at once, and set how many hours they have to answer.
- Auto-Fill. A no or a missed deadline goes straight to the next player on your ranked sub roster.
- Gig Chat. Once everyone's confirmed, message the lineup in one thread.

Frequently asked questions
How do I check if my band members are available?
Have them mark blackout dates ahead of time, then send each player one request with the gig details and a reply deadline. No answer by the deadline counts as a no.
What should I do if a musician doesn't respond?
Move to the next player once the deadline passes. Don't wait or keep nudging; the gig is getting closer either way.
Is it OK to put a musician on hold for a date?
Yes, if you say clearly that it's a hold, not a booking, and release the date quickly if the client doesn't book.
