String Quartets: Keeping a Bench of Players and Booking Subs

For quartet leaders, string ensembles and harp and strings acts.

The short answer

A string quartet stays booked by keeping a bench of subs for every chair, sending the music with every request, and confirming the lineup well before the event. For weddings, hold your first-call players early and reconfirm two months out, when most couples lock in their final day-of schedule.

This page covers what's different for strings. The basics are in the band scheduling guide.

Why scheduling a quartet is different

  • Every chair is exposed. With four players, there's nowhere to hide a weak sub.
  • Subs need to read well. Quartet gigs often run on charts with little or no rehearsal.
  • Ceremonies have cues. The processional, the bride's entrance and the recessional all need to land on time.
  • Weddings book far ahead. The players you planned a year out may not be free on the day.

How deep should your bench be?

Aim for at least three names per chair, and more for first violin and cello, which are often the hardest to fill. Note which subs can also cover viola, since many violinists can. Peak Saturdays in spring and fall fill up fast, so book those dates first. See how to build and rank a sub roster.

Send the music with the request

A sub can say yes with confidence when they can see the parts. Share the set list, the parts for their chair and any backing tracks up front. Put ceremony details, like the processional cue and who signals the bride, in the gig notes.

Day-of checklist for quartet leaders

  • Confirm call time, location and parking with every player the week before.
  • Make sure each player has the current set list and parts.
  • Name who watches for the coordinator's cue.
  • Have a sub plan ready: if someone cancels last minute, send a shotgun request.

How BookLive helps

  • A roster per chair. Rank your violinists, violists and cellists separately.
  • Requests with deadlines and Auto-Fill. Seats fill from your list without the back-and-forth.
  • The Substitute button. For last-minute cancellations, send the seat to all your available subs at once.
  • Timelines and set lists. Build the ceremony and cocktail-hour music once; when a player is staffed, it loads into the Upbeat music-stand app.
